Edit User Information in Venn

As a Company Manager, you can edit user information in the legacy Company Management portal.

Approach to Managing User Information Based on Identity Provider

  • 3rd Party IdP with SCIM Provisioning: If your company has an integration set up with a Third-Party Identity Provider with SCIM provisioning, you will manage access to Venn and user information through Okta, Entra/Azure, or JumpCloud and user status and information will be synced over to Venn.
  • 3rd Party IdP without SCIM Provisioning: If you are using Google Workspace or Okta without SCIM Provisioning as your IdP, you must add and manage users in Venn AND grant them access to the app in your IdP in order for them to be able to log in through your IdP. You must maintain user information in both your IdP and in Venn. Updated user information will not be synced from your IdP to Venn.
  • Venn as IdP: If you are not using a Third-Party Identity Provider, you will manage user information in Company Admin.

Edit User Information

As a Company Manager, you can manage user information in the legacy Company Management portal if Venn is your Identity Provider. 

You can update user information for individual users by following the steps below or you can add users and update some user fields by CSV upload.

To edit user information for an individual user:

  1. Navigate to login.venn.com and sign in with valid credentials.
    You may be required to verify the sign-in by completing the multifactor authentication on your mobile device.
  2. Click Company admin or Manage > Company admin.

  3. Click Directory in the menu at left.
  4. Locate the user in the list and click to open the user detail panel.
  5. In the panel, click Manage User.

  6. The user record will open in a new tab.

  7. On the Basic Information tab, click Edit at the bottom of the page.

  8. Make any adjustments as needed and click Save changes.

Key User Information Fields

Many of the fields on the User Record are only applicable for legacy versions of the Workplace product. The following fields can be used to update user information in Venn's Blue Border.

Basic information

  • First / Last name
    • First name: User’s first name (max length is 20 characters)
    • Last name: User’s last name (max length is 20 characters)
    • The user’s first and last name are used to determine the user's display name in the Directory and the name used for the personal folder (display name is [First Name] [Last Name] by default; Company Managers can change the format for display names under Company > Basic info in the legacy Company Management portal).
  • Email: User’s email address, which can be used as the user’s username when logging into Venn
    • The email address must match the email domain(s) added in Company Management.
    • If your company has an integration set up with Google Workspace or Okta without SCIM Provisioning, users will be matched on email address. Ensure that the email address that you add in Venn matches the user’s email address in your IdP.
    • User invitation is NOT automated. You must share the signup link with new users and instruct them to create their accounts. 
  • Username: Can be used in combination with the company shortname (the abbreviation for your company that you see in the URL bar before .venn.com when you have the Workplace web app open) as the user’s username when logging into Venn (in addition to email address)

Security options

  • Registered mobile phone: User’s mobile number
    • This number is used to verify the user's identity via SMS during user onboarding and for self-service password reset if Venn is your IdP.
    • Formats you can use: 8665838911 / 866-583-8911 / '+18665838911'.
    • If the phone number is provided with a country code, it should start with +. If the phone number doesn’t start with +, the default country code will be set to +1.
