As a Company Manager, you can manage user access in Venn. You can grant user access and remove access with the following actions:
- Disable an active user's account, which will freeze access to their account, but preserve their account information and activity and any files they have saved in Workplace Drive.
- Reactivate a disabled user's account, which allows a user whose account was disabled to access their account again.
- Permanently delete a user's account.
- Revoke a pending invitation, which will delete a user who has never accessed Venn from your list.
Approach to Removing Users Based on Identity Provider
- 3rd Party IdP with SCIM Provisioning: If your company has an integration set up with a Third-Party Identity Provider with SCIM provisioning, you will manage access to Venn through Okta, Entra/Azure, or JumpCloud and user status will be synced over to Venn.
- 3rd Party IdP without SCIM Provisioning: If you are using Google Workspace or Okta without SCIM Provisioning as your IdP, you must remove user access to Venn in Company Admin to remove users from Venn. You may want to also unassign the app in your IdP.
- Venn as IdP: If you are not using a Third-Party Identity Provider, you will manage user access to Venn in Company Admin.
Disable a User Account
As a Company Manager, you can disable an active user's account, which will freeze access to their account. Disabling an account will prevent anyone from signing in to their account, but preserve their account information and activity and any files they have saved in Workplace Drive.
If you expect that you will need to have access to a user's account information in the future, you may want to disable their account instead of permanently deleting it. This will allow you to be able to reactivate the account if needed.
To disable a user:

Navigate to login.venn.com and sign in with valid credentials.
You may be required to verify the sign-in by completing the multifactor authentication on your mobile device.
- Click Company admin or Manage > Company admin.
- Click Directory > Users from the left navigation.
- Locate the target user in the user list and click on them to bring up the user detail panel.
- From the panel click Manage User (this will redirect you to the legacy admin portal).
- Click on Security options from the left navigation and click Edit at the bottom of the page.
- Check the box next to Account disabled and Login disabled. Click OK in the pop-up that appears and then click Save changes.
Reactivate a Disabled User Account
As a Company Manager, you can reactivate a disabled user account.
To enable a disabled user account:

Navigate to login.venn.com and sign in with valid credentials.
You may be required to verify the sign-in by completing the multifactor authentication on your mobile device.
- Click Company admin or Manage > Company admin.
- Click Manage users.
- Click on the user's name.
- Click on Security options.
- Click Edit at the bottom of the page.
- Uncheck the box next to Account disabled and Login Disabled.
- Click Save changes at the bottom of the page.
- Click Reset to reset the account's password.
- Share the Activation Code with the user.
Delete a User Account
As a Company Manager, you can delete a user account, which permanently eliminates all their account history and any files that they have saved in Workplace Drive.
Once a user's account has been deleted, it can no longer be recovered. If you expect that you will need to have access to a user's account information in the future, you may want to disable their account instead of permanently deleting it in order to preserve their account information and activity and any files they have saved in Workplace Drive.
To delete a user:

Navigate to login.venn.com and sign in with valid credentials.
You may be required to verify the sign-in by completing the multifactor authentication on your mobile device.
- Click Company admin or Manage > Company admin.
- Click Manage users.
- Click on the user's name.
- Click Check health to make sure there are no issues with the selected user's profile.
- If a problem is uncovered, click Repair.
- If the problem persists after the repair, contact support. You will not be able to delete the user until the problem is resolved.
- If a problem is uncovered, click Repair.
- Click Remove this user.
- Click OK in the pop-up that appears.
- Click Delete user.
This process may take a few minutes. Do NOT refresh the page or navigate away after you click Delete user until the user has been deleted.
- Verify the status of the user is Deleted and click Done.
Revoke a Pending User Invitation
As a Company Manager, if a new user has been added to Venn, but their account is no longer needed, you can revoke the invitation and delete the pending new user account.
To revoke a pending user invitation:

Navigate to login.venn.com and sign in with valid credentials.
You may be required to verify the sign in by completing the multifactor authentication on your mobile device.
- Click Company admin or Manage > Company admin.
- Click Directory > Users from the left navigation.
- Search for the user with a Pending invite or a User with an Onboarding status.
- Active Users that no longer have a pending invitation cannot be revoked.
- Click on the user in the list.
- Click the Invite button and select Revoke invite.
- Click Revoke invite to confirm the action.
