Manage User Access in Venn

As a Company Manager, you can manage user access to Venn.

Approach to Managing Users Based on Identity Provider

  • 3rd Party IdP with SCIM Provisioning: If your company has an integration set up with a Third-Party Identity Provider with SCIM provisioning, you will manage access to Venn through Okta, Entra/Azure, or JumpCloud and user status will be synced over to Venn.
  • 3rd Party IdP without SCIM Provisioning: If you are using Google Workspace or Okta without SCIM Provisioning as your IdP, you must add and manage users in Venn AND grant them access to the app in your IdP in order for them to be able to log in through your IdP.
  • Venn as IdP: If you are not using a Third-Party Identity Provider, you will manage user access to Venn in Company Admin.

Add a New User to Venn

If Venn is your IdP or if you are using Google Workspace or Okta without SCIM Provisioning as your IdP, you will add users in Company Admin to grant them access to Venn. You can add users individually following these steps or add users in bulk by CSV upload following the steps below.

If your company has an integration set up with a Third-Party Identity Provider with SCIM provisioning, you will manage access to Venn and user information in your IdP instead of in Venn using the linked instructions:

Before you can create new users, you must add your company's email domain(s) in Company Settings.

To add individual users in Company Admin:

  1. Navigate to login.venn.com and sign in with valid credentials.
    You may be required to verify the sign in by completing the multi-factor authentication on your mobile device.
  2. Click Company admin or Manage > Company admin.

  3. Click Directory > Users in the left navigation.
  4. Click Action > Add users.

  5. Enter the user's information.
    • First name: User’s first name (max length is 20 characters)
    • Last name: User’s last name (max length is 20 characters)
    • Mobile number: User’s mobile number
      • This number is used to verify the user's identity via SMS during user onboarding and for self-service password reset.
      • Formats you can use: 8665838911 / 866-583-8911 / '+18665838911'.
      • If the phone number is provided with a country, it should start with +. If the phone number doesn’t start with +, the default country will be set to +1.
    • Email address: User’s email address, which can be used as the user’s username when logging into Venn
      • The email address must match the email domain(s) added in Company Management.
      • If your company has an integration set up with Google Workspace or Okta without SCIM Provisioning, users will be matched on email address. Ensure that the email address that you add in Venn matches the user’s email address in your IdP. Enter the user's information and click Add users.
      • User invitation is NOT automated. You must share the signup link with new users and instruct them to create their accounts.
  6. If you would like to add multiple users:
    • Click Add another coworker to add an additional user.
    • You can add up to five (5) new users via the user form. 
    • Click Copy signup link to copy the signup link to your clipboard and send it to multiple users.

  7. Click Add users and a summary of all added users will be displayed. 
    • If you are adding a single user, click Copy invite to copy their onboarding details to your clipboard, which includes their email address and your company's Venn signup link.
  8. Click Done to close the add user modal.

If you are using Google Workspace or Okta without SCIM Provisioning as your IdP, after you add users following the steps above, you must grant them access to the app in your IdP using the linked instructions:

If a user was added in error, company managers can revoke an invite.  User invitations are automatically revoked after 30 days.

Import Users via CSV File

If Venn is your IdP or if you are using Google Workspace or Okta without SCIM Provisioning as your IdP, you will add users in Company Admin to grant them access to Venn. You can add new users or update user information for a large number of users at once using the CSV upload function following these steps or add users individually following the steps above.

If your company has an integration set up with a Third-Party Identity Provider with SCIM provisioning, you will manage access to Venn and user information in your IdP instead of in Venn using the linked instructions:

Before you can create new users, you must add your company's email domain(s) in Company Settings.
CSV upload will add new user records and update existing user records matching on userID. You can generate a list of users including their User IDs by clicking Actions > Export User Status on the Users List. User information will be updated if a record with a matching User ID is included in the file, but users will not be deleted if they are missing from the file.

To add and update users in bulk in Company Admin:

  1. Navigate to login.venn.com and sign in with valid credentials.
    You may be required to verify the sign in by completing the multi-factor authentication on your mobile device.
  2. Click Company admin or Manage > Company admin.

  3. Click Directory > Users in the left navigation.
  4. Click Action > Add users.
  5. Select Import users via CSV file.

  6. In the Upload user data window, you have two choices:
    • Click Export a CSV template if you want to create a new file with all of your user data.
    • Click Export your company's user data if you want to add to your list of users.

    • userFirstName*: User’s first name (max length is 20 characters)

      • If your company has an integration set up with Google Workspace or Okta without SCIM Provisioning, users will be matched on email address. Ensure that the email address that you add in Venn matches the user’s email address in your IdP.
      • User invitation is NOT automated. You must share the signup link with new users and instruct them to create their accounts.
    • userLogin: User’s login, which can be used as the user’s username when logging into Venn (in addition to email address)
      • If a custom user login is not set, a default login will be generated based on the user's email address. 
        • User Login Format: [local part of the email address (part before the @ symbol)].[company shortname (the abbreviation for your company that you see in the URL bar before .venn.com when you have the Workplace web app open)]
        • Example: the User Login for a user with the email address Test@companyxyzemaildomain.com in a company with a shortname of xyz will be Test.xyz
    • userType:
      • Admin: This will make the user a Company Manager.
      • Standard: This is the default if nothing is selected and will create a standard user account. 
    • userRecoveryEmail: This field can be left blank.
    • userAliases: This field can be used to add a user’s alternate work email addresses (separated by semi-colons). This field is optional. 
    • userID: This identifier will be automatically generated by Venn when a user is added.
      • Leave this field blank when you are adding a new user.
      • In order to make changes to an existing user’s account, you must ensure that you populate this field with the correct User ID. You can generate a list of users including their User IDs by clicking Actions > Export User Status on the Users List. 
  7. Click Upload CSV and select the CSV file you created.
  8. Click Open. A popup will appear displaying the number of new users added or updated.

Depending on the number of entries, it might take a couple of minutes to create the users. Any errors will be displayed on the Summary page.
