The File Sharing Feature Is Required to Share Files.
Organizations That Wish to Access This Feature Can Contact Their Customer Success Manager or Workplace Provider.
If you have file sharing enabled, you can share files with your co-workers and guest users in Workplace for Android and iOS. Let’s see what this process looks like.
Share a File in Workplace for Android
Open Workplace for Android and sign in with valid credentials. This takes you to the Files screen, where there are a few ways to share a file:
- Navigate to the file:
- Tap the Search bar at the top of the screen and begin typing the name of the file.
- From the results list, tap the options icon next to the file you want to share.
- Tap Share link and choose the type of share link.
- Tap a file from Starred Files and Folders to open a preview of the document.
- Tap the options icon at the top of the screen.
- Tap Share link and choose the type of share link.
- Tap a folder and navigate to a file.
- Tap the options icon next to the file you want to share.
- Tap Share link and choose the type of share link.
Tap Copy to copy the URL provided by Workplace and send it to the recipient via email, chat, SMS, or whatever method you prefer.
NOTE: If you choose Private Link then tap Add Recipient, you can either:
- Select a cell number from your contacts, or
- Enter a phone number.
Tap Shared links on the Files page to find all of your shared links. An arrow symbol to the right of the file shows it has been shared.
When a share link is no longer needed, tap the share button and then tap break link.
Share a File in Workplace for iOS
Open Workplace for iOS and sign in with valid credentials. This takes you to the Files screen, where there are a few ways to share a file:
- Tap the Search bar at the top of the screen and begin typing the name of the file.
- From the results list, tap the file you want to share.
- Tap Share.
- Tap the type of share link.
- Tap a file from Starred Files and Folders to open a preview of the document.
- Tap Share and choose the type of share link.
- Tap a folder and navigate to a file.
- Tap the file to open a preview of the file.
- Tap Share and choose the type of share link.
Tap Copy to copy the URL provided by Workplace and send it to the recipient via email, chat, SMS, or whatever method you prefer.
NOTE: If you choose Private Link then tap Add a Person, you can either:
- Enter a mobile number, or
- Choose that person from your Contacts.
Tap Shared links on the Files page to find all of your shared links. An arrow symbol to the right of the file shows it has been shared.
When a share link is no longer needed, slide the name of the file to the left and tap Break Link.
Types of Share Links
When you click Share / Share link, there are three options for sharing your document.
- Public: The public link provides easy sharing for non-sensitive files like marketing collateral or newsletters.
- Tracked: The tracked link allows you to view the recipient’s mobile number in the activity log, which is great for keeping track of who is viewing the file and when.

Private: The private link is used for sensitive files, and is restricted by mobile number. Use this type of link for things like receipts, reports, or other confidential files.
NOTE: For Private links, you will be asked to specify the mobile number of the recipient(s)
