Backend Resources for Hybrid Users
The backend resources needed to run a Hybrid environment is not created until the user completes onboarding.
Before you can create new users, you must first create the email domain. Please follow the instructions here.
Create a New User Account via the User Dashboard
- Navigate to login.venn.com and sign in with valid credentials.
You may be required to verify the sign in by completing the multi-factor authentication on your mobile device. - Click Company admin or Manage > Company admin.
- Click User Dashboard in the sidebar.
- Click Add User.
- Enter the user's information and click Add users.
- First name (ex: John)
- Last name (ex: Doe)
- Mobile number
- This number is used to verify the user's identity, via SMS, during user onboarding.
- This number is used for Self-Service password reset.
- Email address
User Invitation is NOT Automated
Workplace will not automatically send an invitation to a user. A Company Manager or MSP Partner will need to share the Signup Link with a new user using a communication method they prefer.- It is recommended to use the following template:
- First Initial of first name + Last name + domain of email. (JDoe@domain.com)
- If the domain of the email address has been configured in the Workplace portal, enter the user's email address (ex: Jdoe@workplaceeducation.com).
- If the domain of the email address has not been configured in the Workplace portal, enter the UPN for the email address (ex: JDoe@education.os33.com)
- See the Signup link section for the UPN domain.
- It is recommended to use the following template:
- You can add up to five (5) new users via the user form. To add an additional user, click Add another coworker.
- To add more than five (5) users at one time, click Import users via CSV file.
- Click Copy signup link to copy the the signup link to your clipboard and easily send it to multiple users via the communication method you prefer.
- A summary of all added users will be displayed.
- Click Add more users to add additional users.
- For a single user, you can click Copy invite to copy their onboarding details to your clipboard, which includes their new email address and the signup link. Send the details to the user via any communication method you prefer.
- Click Done to close the add user modal.
- If a user was added in error, company managers can revoke an invite. User invitations are automatically revoked after 30 days.
Import Users via CSV File
- Navigate to login.venn.com and sign in with valid credentials.
You may be required to verify the sign in by completing the multi-factor authentication on your mobile device. - Click Company admin or Manage > Company admin.
- Click User Dashboard in the sidebar.
- Click Add User.
- Select Import users via CSV file.
- In the Upload user data window, you have two choices:
- Click Export a CSV template if you want to create a new file with all of your user data.
- Click Export your company's user data if you want to add to your list of users.

Fill in the following information (required indicated by an asterisk):

- *First Name: max length is 20 chars
- *Last Name: max length is 20 chars
- *Mobile number: If phone number is provided with country code, it should start with +. If phone number doesn’t start with +, Workplace will default the country code to +1.
- Formats you can use: 8665838911 / 866-583-8911 / '+18665838911'
- *userEmail: The email address should match the email domain(s) added to the Company.
- userLogin: If a custom login (Iusername) is not set via CSV, a default will be generated by Workplace based off of the users' email address.
- Example: Test@emaildomain.com will generate a userLogin of "test"
- Example: Tuser@emaildomain.com will generate a userLogin of "Tuser"
- userType:
- Admin: This will make the user a CM in the company.
- Standard: This is the default if nothing is selected and will create a standard user account.
- userRecoveryEmail: You can leave this field blank.
- userAliases: This is to set up users with Email aliases. Users sometimes have an alternate work email that they use and those email addresses are captured here. This is an optional field. If the user has multiple aliases then they should be separated by a ; (semi-colon).
- userID: This is a user’s primary identifier generated by Workplace, unless explicitly provided by the admin importing the CSV, and does not change. Workplace will leverage this ID to make any changes to the user’s account. For example, if a user’s last name of their email address needs to be changed, then the admin can search for this user by their userID and change only the userEmail in the CSV file.
- Save the CSV.
- Click Upload CSV and browse the location of the file.
- Choose the file and click Open. A popup will appear displaying the number of new users added or updated.

Depending on number of entries, it might take a couple of minutes to create the users. Any errors will be displayed in the Summary page.
- If you are importing the CSV and you see errors, contact your MSP admin.
- If you are an MSP admin and you see errors, navigate to legacy admin> Company> Recent Errors.
NOTE:The CSV CANNOT be used to Delete users.
