This article will introduce you to the notifications that you will receive from Workplace that keep you informed about user and company security.

You can expect emails to have a subject line that matches the heading following headings to be sent from no-reply@workplace.co:

If you recently changed or requested a change of your password,

    • All Workplace Company Managers
  • Why am I receiving this?
    • This is a precautionary measure to notify you that one of your Workplace users needed to use the "Forgot Password?" feature to recover their account information.
  • What should I do?
    • We strongly encourage Company Managers to be aware of the security state of their company. While every effort is put into making Workplace secure from a system's perspective, nothing can fully replace user awareness. For example, if the user lost the mobile device that was used for account recovery (and it is not properly secured), then this could make that user's account vulnerable.
    • If you expected the user to use account recovery, you can disregard this notification.
    • However, if you were not aware the user requested account recovery, then we encourage you to follow-up with them. If you suspect that there is a security issue with the user's account, please disable the user account from the Company Manager tools (to prevent further unauthorized access) and reach out to your Workplace support team immediately.

    • This is similar to how your credit card company watches for and notifies you when your card is used from a different country.
    • You will also receive this notification upon first login, since your first location is always a "new location". This is intentional, as it assures that a newly created account is not taken advantage of before the intended user can begin working with it.
  • What should I do?
    • If you were the one who just logged in from this new location (such as when you are traveling or relocating), then you can disregard this notification.
    • However, if you did not log in from this new location, then there is a strong possibility that there is a security issue with your account. Please reach out to your Company Manager and Workplace support team immediately.

  • Why am I receiving this?
    • This is a precautionary measure to notify you that a file you made available to other people using our File Sharing feature was accessed. This notification is only sent for files with the security levels of tracked link and private link.
  • What should I do?
    • If you recognize the phone number, you can disregard this notification.
    • However, if you do not recognize the phone number, we advise that you reach out to the person you shared the download link with to see if they used a different phone number than you expected.
      • You should consider removing sharing from the file altogether. However, at this point, the file has already been accessed.
