Set Up Google Drive as an Available File System in Venn

Venn’s integration with Google Drive allows users to access, open, work on, save, and delete files from Google Drive seamlessly from their File Explorer or Finder when they are working in Blue Border. Learn how to use Google Drive with Venn as an end user.

As a Company Manager, you can enable the use of Google Drive in Venn for all users as part of your Default Data Loss Prevention Policy or for a subset of users as a Policy Override by completing the following steps:

  1. Enable Google Drive File Storage
  2. Enable Google Workplace Account Access

The Google Drive integration with Venn is only available on Windows. If you have Mac users, we recommend either enabling Workplace Drive as an additional File storage assignment for all users as part of your Default Policy or creating a group, adding all Mac users to it, and creating a Policy Override for those users that enables Workplace Drive as their File storage assignment under the File Storage and Data Control DLP Policy.

Mac users can securely use the web version of Google Drive in Blue Border. Users can also securely use the web version of Google Drive in Blue Border on Windows devices.

Enable Google Drive File Storage

As a Company Manager, you can configure which file storage solution(s) are available for use in Venn using the File Storage and Data Control Data Loss Prevention Policy. Under this policy, you can determine which file systems are available to users and the default save and download locations for users' documents.

To enable Google Drive File Storage for users as part of your default DLP Policy or a Policy Override:

  1. Navigate to login.venn.com and Sign In with valid credentials.
    You may be required to verify the sign-in by completing the multifactor authentication on your mobile device.
  2. Click Company admin or Manage > Company admin.

  3. Click Policy Admin and select DLP Policy in the menu at left.
  4. Locate the policy you would like to change or add.
    • To update your default policy, look under Default policy.
    • To update an override policy, click Edit to the right of the override record under Policy overrides.
    • To create a new policy override, click Add New to the right of Policy overrides.
  5. Click Change next to File storage and data control.

  6. In the policy editor, locate Google Drive and toggle it On. This will reveal Google Drive configuration options.
  7. Choose whether or not you would like to Launch automatically when logging in to Venn. We recommend checking this box if Google Drive will be the primary file system for the users that the policy applies to. This will ensure that the Google Drive application automatically starts when a user logs in to Venn, similar to how apps can be automatically set to run when you log into a computer. 
  8. When you enable Google Drive, it will automatically be selected as the default save and download location under Data Control. We recommend using Google Drive as your primary save and download location if Google Drive will be the primary file system for the users that the policy applies to.
  9. Click Apply.

Once you apply your changes, the following will happen for users that the policy applies to:

  • Google Drive will be authorized for use in Venn
  • The Google Drive desktop application will be assigned to them and become available in the Venn Launcher
    This policy will assign the appropriate app to users. Do not assign the application from the All apps page in Company Admin.
  • The Google Drive virtual drive will be mapped as a folder inside of Venn Disk
The Google Drive integration with Venn is only available on Windows. If you have Mac users, we recommend either enabling Workplace Drive as an additional File storage assignment for all users as part of your Default Policy or creating a group, adding all Mac users to it, and creating a Policy Override for those users that enables Workplace Drive as their File storage assignment under the File Storage and Data Control DLP Policy.
IMPORTANT: Users that the policy applies to will not be able to log in to their Google Workspace account in order to use Google Drive in Venn unless you enable Google Workspace Account Access for them using the Account Access Data Loss Prevention Policy. If you haven't done so, enable Google Workspace Account Access by following the steps below.

Enable Google Workspace Account Access

As a Company Manager, you can enable users to access Google Workspace accounts in Venn using the Account Access Data Loss Prevention Policy. Under this policy, you can determine whether or not users can access Google Workspace and restrict access to specific business domains.

To enable Google Workspace Account Access for users as part of your default DLP Policy or a Policy Override:

  1. Navigate to login.venn.com and Sign In with valid credentials.
    You may be required to verify the sign-in by completing the multifactor authentication on your mobile device.
  2. Click Company admin or Manage > Company admin.

  3. Click Policy Admin and select DLP Policy in the menu at left.
  4. Locate the policy you would like to change or add.
    • To update your default policy, look under Default policy.
    • To update an override policy, click Edit to the right of the override record under Policy overrides.
    • To create a new policy override, click Add New to the right of Policy overrides.
  5. Click Change next to Account Access.

  6. In the policy editor, choose one of the following options under Google Workspace.

    • Allow access with any account: This option allows login with any Google Workspace business account.
    • Allow access with specific business accounts: This option only allows login if the account is linked to specific Google Workspace business accounts. In order to allow the use of specific Google Workspace business accounts in Venn, you must specify one or more business domains. You can specify multiple domains by separating them using the "Enter" or "Return" key.
  7. Click Apply.

Once you apply your changes, the users that the policy applies to will be able to log in to their Google Workspace account in order to use Google Drive in Venn.
