Launching Hosted Applications

Your company might want additional security for certain or all apps you work with and will require you to use hosted applications instead of locally-installed applications. Running hosted apps from a remote data center can offer premium encryption, virus protection, and other compliance standards that keep your company's data safe.

You know that an app is set up as a hosted app when you see a gray cloud on the app icon in Workplace.

Launching Hosted Applications

When you click to open a hosted from Workplace desktop app or web portal, Workplace will launch the app using a solution called Citrix XenApp to launch the Citrix Receiver, a secure gateway through which your hosted applications appear on your Windows or Mac.

Once open, your hosted application will look like it's running locally, but it will actually be running securely in the cloud.

In order to use hosted applications, you must have a stable internet connection or you might experience a sluggish response or interrupted service. 

Server Security Maintenance

Venn refreshes our servers at least once every 24 hours as a proactive maintenance strategy that ensures stability, security, and optimal performance. We stagger these server restarts so that there are always servers available that users can leverage to connect with hosted applications.

If Venn has an upcoming server restart scheduled on the server where you are working, you will see a warning one hour before and you will continue receiving periodic warnings until the server restarts.

When you see the warning, we recommend saving your work, signing out of Workplace, and then signing back in at a convenient stopping point within the timeframe provided. You will automatically be connected to a different server when you log back in.

If you do not exit Workplace before the restart, Workplace will complete a forced sign-out at that time. Any unsaved work may be lost during the forced sign-out.

In order to maintain optimal server utilization, a server may be scheduled to shut down during normal business hours if there are less than two user sessions on the server and there are other servers available with additional capacity. In these instances, you will see the same warning messages and take the same recommended steps described above.

Launching Hosted Applications Outside of Normal Business Hours

Our server capacity reflects standard business hours in order to optimize efficiency and server operations. Should you need access to hosted applications outside of normal business hours, you may experience a brief waiting period as the servers power back up. 

When you click to launch a hosted application while the server is shut down, a blue banner will appear indicating that Workplace is initializing your hosted environment.

It may take a few minutes for the server to power back up. Do not click on the application multiple times or click to open any other applications while the server is connecting. Clicking multiple times may result in multiple instances of an application starting when the environment is ready.

The application will begin launching automatically once the server connects. If the application does not launch automatically after approximately 5 minutes, click on the application once more.
