Venn Privacy and Data Collection Guide

Venn’s Blue Border™ protects your personal data and privacy and keeps your company’s data safe, secure, and isolated so that you can use your personal computer for work and life. Venn has strict boundaries in place to separate work-related and personal activity data collection.

This guide outlines the types of data Venn collects on our desktop and mobile platforms and specifies the data we never collect or monitor.

Venn’s services agreement allows Venn to collect the information necessary to deliver the services outlined in the agreements.

Data Venn Collects

When applications are open in Blue Border, the following activities are tracked:

  • User Profile Information
    • First and last name
    • Business email
    • Company name
    • Cell phone number (if Venn MFA is used)
    • State and country of office location

  • Device and Login Information
    • Date and time of authentication and access attempts
    • Unique user IDs generated by Venn
    • Internet provider, IP address, approximate location
    • Device details: name, model, operating system, serial number, and applications installed
  • Device compliance status against company policies
    • Antivirus software details: name, version, vendor, and update status
    • Disk encryption status
    • Firewall activation status
    • Operating system update settings and vendor support status

  • Application and Web Usage
    • Actions within Blue Border: file interactions with Venn’s Workplace Drive (creating, editing, deleting, sharing)
    • Usage of managed apps and websites: launch events and browsing activities within secure sessions
    • Diagnostic data for troubleshooting: hardware configurations, network connectivity, and installed applications

  • Mobile-Specific Data
    • Multi-factor authentication details
    • Device linking and unlinking actions
    • Connectivity metrics: latency and packet loss to Venn endpoints

  • Browser Extension-Specific Data
    • Account saving actions: capture and transmission of usernames, passwords, and URLs to accounts upon user consent
    • Bookmarking actions: URL capture and user prompts to save accounts to Venn

Data Venn Does Not Collect

When applications are open outside of Venn's Blue Border, the following activities are never tracked:

  • Personal Files and Activities
    • Access to drives or files outside Venn’s Workplace Drive, including internal and external hard drives, network drives, and cloud storage
    • Personal browsing and application usage outside the managed environment
    • Exact GPS locations (only approximate locations based on IP addresses are used)
    • Contents of personal data from other applications, including messages, photos, contacts, etc.

  • Sensitive Personal Information
    • Personal emails, contacts, and calendars not managed by Venn
    • View, edit, or delete personal photos
    • Personal passwords, passcodes, or payment information (for example, Apple Pay, Google Pay)
    • Data from third-party applications not using Venn’s Workplace Drive for storage
    • Demographic, financial, or health information
    • Screen and audio recordings outside of secure sessions
    • Biometric data, such as fingerprints, Touch ID, or Face ID

Data Security and Confidentiality

Venn takes the security and confidentiality of data seriously. All activity and data collected when using applications and accessing data inside Venn's Blue Border is stored and transmitted securely in accordance with industry best practices. Venn has implemented technical and administrative measures to protect work-related activity and data from unauthorized access, loss, misuse, or alteration. Only you and administrators of Venn can access this information.

How to View Activity Collected by Venn

As a user of Venn, you can access and review all activity collected while working with applications inside Blue Border. 

  1. From any application running inside Blue Border, click the Venn badge to the side of the window with a blue border.
  2. In the window that appears, click View activity log.

Many people would like the ease of using their personal computers for work but are concerned about their personal privacy when their company wants to install software on their computers. They worry that this software could see or access their personal data or monitor their activities. Venn understands this and that is why we created Blue Border. It protects your data and privacy while enabling you to use your personal computer for work.

Here are answers to some of the most frequently asked questions about privacy and data collection to help you learn more about Venn and how it protects your privacy:

What is Venn’s Blue Border?

Venn’s Blue Border is software that you install on your computer that separates work from personal on your computer. Your computer will feel exactly the same except that whenever you open a work-related application, you will do so from the Venn Launcher. When the application opens, it will be surrounded by a blue border. The blue border is your visual cue letting you know you are in work mode. It keeps your company's work data isolated and protected.

Applications that you launch outside of the Venn Launcher (for example from the Start Menu or from your Desktop on Windows; from Finder or the Launchpad in your Dock on Mac) are personal and will launch without a blue border. They are completely isolated from work (Blue Border) applications, almost as though they were running on separate computers.

Why do I want to use Venn’s Blue Border on my computer?

Blue Border makes it possible for you to have the flexibility to use your computer the way you want for work and life. It keeps all of your personal computer activities and data completely separate and secure from anything work-related. You have the ability to seamlessly toggle between work and personal without having to log out and log back in.

Once I install Venn’s Blue Border, what personal things are monitored on my computer?

Venn’s Blue Border is not monitoring, tracking, accessing, or recording any of your personal data or activities. It can not see any of your private personal information or browsing activities, and it cannot access your personal files. Inside the blue border work environment, Venn only collects work-related data; you can easily see all the data collected by clicking on the Venn badge to on every Blue Border window and clicking View Activity Log.

Is there any data that is being collected outside of Blue Border?

All that Venn and your company can see is your computer’s security settings and diagnostics. Venn checks and reports on the status of security settings on your personal computer for things such as security updates and active antivirus protection. Diagnostics on a computer are a series of tests and checks that look at the different parts of your computer to make sure everything is working correctly. The diagnostic data collected includes hardware configuration, make and model, network connectivity, and installed applications. It does not contain any information about personal files or personal browsing history and is only meant for troubleshooting purposes. The collected information is for troubleshooting purposes only and does not contain any personal information or browsing history.

When I am using Venn’s Blue Border, what activity is collected?

When you are working with applications inside Blue Border, Venn tracks the following activities: login, computer security settings, browsing, application usage, file usage, and diagnostics. When applications, browsers, or files do not have the blue border, they are never tracked, monitored, or accessed.

Is my personal data secure and kept confidential?

Venn takes the security and confidentiality of personal data seriously. Any data and activity that takes place outside of the blue border is never monitored or recorded in any way. Venn’s Blue Border is annually examined by a third party to ensure this segregation.

What about the security and confidentiality of my company data?

For your company data, including sensitive customer information, all activity and data collected when you are using applications and accessing data inside of Blue Border is stored and transmitted securely in accordance with industry best practices. Venn has implemented technical and administrative measures to protect work-related activity and data from unauthorized access, loss, misuse, or alteration.

Is my company using Venn’s Blue Border to monitor my productivity by tracking time online, keystrokes, etc.?

Venn is not a productivity monitoring tool and does not track your time online or keystrokes.

Does Venn have direct access to the core system or kernel on the device where it is installed?

Venn uses drivers on Windows to protect individual applications actively being used for work (inside Blue Border). Venn employs a different methodology on Mac and does not have access to the kernel.
